Teraleads LLC FZ (“Zoie,” “we,” “us,” or “our”) respects your privacy and is committed to protecting Personal Information in accordance with applicable data protection laws. This Privacy Policy explains how we collect, use, disclose, and safeguard Personal Information when you access or use our websites, applications, software, and related services (collectively, the “Platform”).
Zoie is an AI-powered customer relationship management (CRM) platform that enables businesses to manage leads, communicate with prospects, and automate outreach using AI-powered voice agents, messaging agents, and manual communication tools.
This Privacy Policy applies when Zoie acts as a data controller. It does not apply where Zoie processes Personal Information solely on behalf of its customers as a data processor, as described below.
By accessing or using the Platform, you acknowledge that you have read and understood this Privacy Policy.
Zoie customers use the Platform to collect, manage, and communicate with their own leads, patients, or customers. In doing so, our customers determine what Personal Information is collected and how it is used.
When Zoie processes Personal Information on behalf of a customer in this context (for example, when AI agents place calls, send SMS, or WhatsApp messages to leads), Zoie acts as a processor or service provider, and the customer’s own privacy policy governs that processing.
If you are an end customer, lead, or patient of a Zoie customer, please refer to the privacy notice provided by that business.
We may collect the following categories of Personal Information:
This includes information you submit when you:
Such information may include your name, business name, email address, phone number, billing details, account credentials, and communication preferences.
When you use the Platform, we automatically collect certain technical and usage information, including:
Please refer to our Cookies Policy for additional details.
We may receive Personal Information from:
This information may include contact and professional details consistent with permitted uses.
We use Personal Information for the following purposes:
To operate, maintain, personalize, and enhance the Platform, including analytics, troubleshooting, testing, feature development, and performance monitoring.
Zoie provides AI-powered voice agents, messaging agents and in-product assistants. Examples include AI agents that answer or place calls and reply to messages on a Customer’s behalf, automatic call transcription and call summaries, lead summaries and follow-up drafts, the “Ask Zoie” assistant, the agent test console, and tools that generate knowledge-base content, forms and workflows from a Customer’s instructions.
Information processed by AI features. To provide these features, Zoie processes the following categories of information with the AI service providers listed in Section 6(b):
How this information is used. AI providers process this information only to (i) generate text or spoken responses (large language models), (ii) convert speech to text, (iii) convert text to speech, (iv) run real-time voice conversations, (v) create search indexes (“embeddings”) over a Customer’s own knowledge base. Real-time media (audio and data) for voice agents and in-app calls is carried over real-time communication infrastructure and telephony carriers, also listed in Section 6(b).
How AI features are controlled.
Your consent in the Zoie mobile app. When you first sign in to the Zoie mobile app (and again if this list of data or providers changes materially), the app shows a screen titled “How Zoie uses AI with your data” that lists the information above, the providers that receive it and the purposes. You must tap “I agree” to use the app. If you choose “Don’t agree”, you are signed out and can sign in again later. You can review what you agreed to, and withdraw your agreement, at any time under Settings → AI & Data in the app; withdrawing signs you out of the mobile app. Withdrawing your agreement does not by itself stop AI processing that your organization has configured for its business account, because Zoie performs that processing on the Customer’s instructions (see Section 2). Please contact your organization’s administrator about the AI features it has enabled.
Retention. Call recordings, transcripts, conversation logs, AI summaries and knowledge-base content are retained as described in Section 7.
To respond to inquiries, provide technical support, send service-related notifications, and communicate about accounts or updates.
Including billing, accounting, compliance, auditing, fraud prevention, and internal administration.
To send newsletters, product updates, educational materials, or promotional content in accordance with applicable laws and your communication preferences.
To protect our rights, comply with legal obligations, enforce agreements, and maintain platform security.
Where required by law (such as under GDPR or similar frameworks), Zoie processes Personal Information based on one or more of the following legal bases:
We may share Personal Information with:
Including entities under common ownership or control, consistent with this Privacy Policy.
Trusted vendors who assist with hosting, analytics, customer support, communications, AI services, payment processing, and security. These parties are contractually required to protect Personal Information.
AI service providers. The following providers process the information described in Section 4(b) on Zoie’s behalf. Not every provider is used for every Customer; the providers used depend on the Customer’s configuration.
Real-time media and telephony providers carry call audio, messages and recordings; they are not AI model providers:
Other data processors relevant to AI features:
The AI service providers listed above act as our processors and are contractually required to protect Personal Information, to process it only on our instructions. The real-time media and telephony providers process call audio, messages and recordings as our processors, to carry and store them on our instructions. Apollo.io receives the lead details we send it only to return enriched contact details, under our agreement with it. We will update these lists when we add or replace a provider.
Connectors you authorize. If a Customer connects a third-party assistant (for example Claude by Anthropic or ChatGPT by OpenAI) to Zoie through Zoie’s connector feature, that assistant accesses the CRM data the Customer authorizes, and its use of that data is governed by that provider’s terms. The Customer can revoke a connector at any time in Settings.
To support campaigns, measure effectiveness, and deliver relevant content, subject to applicable law and opt-out rights.
In connection with a merger, acquisition, restructuring, or sale of assets.
Where required by law or to protect rights, safety, or security.
We do not share phone numbers or opt-in consent for SMS or voice communications with third parties without appropriate authorization.
We retain Personal Information only for as long as reasonably necessary to:
Call recordings, transcripts, conversation logs, AI-generated summaries and knowledge-base content are retained for as long as the Customer’s account is active or until the Customer deletes them, and are deleted or anonymized when the account is deleted.
We may anonymize or aggregate information for analytics and research purposes.
Zoie implements reasonable administrative, technical, and organizational safeguards designed to protect Personal Information against unauthorized access, loss, or misuse. However, no system can be guaranteed to be completely secure.
You are responsible for maintaining the confidentiality of your account credentials.
The Platform is not intended for individuals under the age of 16. We do not knowingly collect Personal Information from children. If such information is discovered, we will delete it promptly.
The Platform may contain links or integrations with third-party services. Zoie is not responsible for the privacy practices of those third parties. Your use of third-party services is governed by their respective privacy policies.

Zoie does not engage in automated decision-making that produces legal or similarly significant effects.
Zoie operates globally and may transfer Personal Information across borders, including to the United States and other jurisdictions. We implement appropriate safeguards to protect Personal Information in accordance with applicable laws.
We may update this Privacy Policy from time to time. Changes will be posted on the Platform, and continued use constitutes acceptance of the updated policy.
